The Hirer: The person who has booked, paid & is responsible for the hire of the vehicle

Insurance
Fully comprehensive insurance is included within the hire cost for the first driver. Additional drivers are charged at £32 per week (7 days) whilst driving in the UK only. European insurance is available at an additional cost (to be discussed on an individual basis). Our insurance company may impose surcharges for certain medical conditions, and it is your responsibility to inform us of any medical conditions you may have at the time of booking, or prior to collection of the campervan.

A £600 damage deposit/insurance excess, must be paid for each hire period. This is a condition set out by our insurance company in the event of any damage to the vehicle or third party property. This must be paid either before or on collection, and can be paid via BAC’s, debit or credit card (but must reach our account prior to release of the campervan). This damage deposit will be fully refunded within 2 working days of the end of the hire period, minus any costs that may have been incurred. Gloucestershire Campervan Hire do not offer a damage waiver and the £600 excess will be immediately forfeited should any damage occur.

Should any damages exceed the security deposit the hirer may be responsible for settling the additional costs.

Drivers are to be aged between 25 to 75 years old with a minimum of 2 years driving experience, and must hold a UK driving licence. It may be possible for younger or older drivers to be allowed to drive, but not without prior approval from our insurers and any additional premium being paid.

A charge will be made to you for any vehicles that are returned late and/or damaged. If vehicles are returned later than the date and specified time, without prior written approval from Gloucestershire Campervan Hire, the hirer’s render themselves liable to overtime charges of £30.00 an hour.

The insurance does not include the following & all costs are the responsibility of the hirer:

  • Any deliberate or wilful act

  • Putting incorrect fuel in the vehicle – our campervan runs on diesel

  • Windscreen/window damage

  • Locking keys in vehicle

  • If the hirer leaves the vehicle unlocked or fails to ensure keys are secure

  • Internal damage or breakage

  • Tyre damage or punctures

  • Any damage caused by animals

  • Damage caused by cooking

  • Personnel effects
     

Extras:
Additional drivers are charged at £32 per person/per week (and must be 25-75 years of age, have a maximum of 6 points on driving licence, proof of ID). Details of additional drivers are required in advance and are not able to be added on the day of collection.
European cover £15 per day.

Drivers:
The licence must not exceed 6 points. All drivers must be present and produce photo card licence plus DVLA Licence Summary before hire can commence.
If both parts cannot be produced then the vehicle will not be hired out. 

 

  1. Age limits: 25 to 75 years (in exceptional circumstances this is negotiable).

  2. For drivers aged between 21 - 24 & 76 - 79, there is an additional fee of £5 per day, and the refundable damage deposit is £1000.

  3. Driver must have held a full valid UK licence for manual transmission for more than two years. Details of additional drivers required in advance.

  4. Drivers are personally liable for all legal penalties (e.g: speeding fine, parking fine etc) which incurred during the period of hire. All such fines/penalties will be passed onto the hirer and are in no way the responsibility of Gloucestershire Campervan Hire.

  5. The hirer and any additional drivers must provide a photo driver’s license and two separate forms of ID with proof of address. Two of the following are required; Utility bill, Bank statement, mortgage statement, Council Tax bill. The proof of address documents must be dated within 90 days of the hire start date, and must be your current address. Failure to do so will result in the campervan not being released for hire. Gloucestershire Campervan Hire reserves the right to take and hold copies of these documents. If additional proof of address documents or photo identity is not produced then the campervan will not be released and the full cost of hire will be forfeited.

  6. Gloucestershire Campervan Hire will not be let out on hire to or be driven by: -
    A) Persons who have been convicted of an offence in connection with the driving of a motor vehicle or motorcycle and/or have had their driving licence endorsed or suspended or more than 6 penalty points imposed. “Spent” convictions, covered by the Rehabilitation of Offenders Act 1974 may be disregarded.
    B) Persons who have had their insurance declined and/or renewal refused and/or special insurance terms imposed as a result of claims experience and/or have had their insurance or cover cancelled by any Motor Insurer.
    C) Persons engaged wholly or partly in professional entertainment or professional sports persons.
    D) Jockeys and persons connected with racing, gaming industry or press of any sort.
    E) Persons who have any mental or physical defect or infirmity or suffers fits, diabetes or any heart complaint.
    G) Foreign Service Personnel other than persons holding a full UK/EU licence for two years or more.

  7. The insured vehicle(s) shall be driven only by the Hirer or other permitted driver(s) who has completed and signed a rental agreement (by each hirer or other permitted driver). The rental agreement must be fully completed by the Hirer or other permitted driver in all respects. 

  8. The Insured vehicle shall not be used for the carriage of goods of an explosive nature (except of gas cylinder), dangerous or hazardous nature, or for the carriage of goods or passengers for hire and reward.


The campervan will be available for collection from 3pm on the day of commencement of hire.  Please allow up to an hour for collection to enable us to complete all necessary paperwork and to demonstrate how to use all the features of the campervan. The campervan must be returned by 11am at the latest on the final day of hire or by prior arrangement.  Alternative times for collection and return may be possible on request.

Payment:
Availability is on a request and confirmation basis at the time of your reservation. A reservation is only binding once the booking is confirmed by Gloucestershire Campervan Hire by email. A non-refundable deposit of £150.00 of the hire fee is payable to secure your booking. On receipt of your deposit a final invoice will be issued which is payable in full by 4 weeks prior to the commencement date of hire. The £600 insurance excess/damage deposit is payable either before or on collection, this can be paid via BAC’s, debit or credit card (must reach our account prior to campervan handover). If payment is not made in full the campervan will not be released and there will be no refund of deposit.

Vehicles will not be released without full payment & security deposit being completed.


Cancellation Charges:


Cancellation over 10 weeks: 

You have the option to change the booking dates free of charge to a new date. 

If you wish to cancel your booking you will lose your deposit only.

Cancellation between 10 weeks to 4 weeks: 

If you are not able to proceed with your trip and therefore cancel between 10 weeks prior and 4 weeks prior (to collection), we will offer you the option of transferring your booking free of charge to a new date. If wish to cancel your booking you will lose your deposit only.

Cancellation within 4 weeks of the collection date.

If you are not able to proceed with your trip and therefore cancel within 4 weeks prior to your collection date, the full balance will still be required.

In the event of exceptional circumstances, Gloucestershire Campervan Hire have the rights to offer alternative hire dates, should the campervan be prevented from being released for hire. In this case, Gloucestershire Campervan Hire will transfer all monies paid by the hirer to the new dates

 

Cancellation under government guidelines: If the government guidelines prevents you from collecting the campervan, you will be entitled to a full refund or a change of date. We cannot be held responsible if there are local lockdowns or restrictions on your planned destination.

Personal Travel Insurance:
It is the hirer’s responsibility to provide their own insurance to cover personal items and belongings and personal injury in the event of an accident

Smoking:

Gloucestershire Campervan Hire operate a strictly enforced NO SMOKING inside or in close proximity to the campervan. A penalty of £500.00 will be incurred if smoking has taken place in the vehicle. Please do not light fires/have BBQ’s close to the campervan. We want to make sure the campervan stays as fresh as when you picked it up.


Pets:
We do allow well behaved dogs in the campervan, but we would like the campervan kept in the very best of conditions for everyone who hires it. We ask you to bring your dogs’ bed / blankets and not let them jump / paw the upholstery (it will be your responsibility to ensure that no damage is caused). Upon booking you must notify us if you wish to bring your 4-legged friend with you. There is a £25 flat fee for adding a dog to your hire period. A penalty of £200 will be applied if a pet or any animal has been in the vehicle without prior permission.

Breakdown:
In the unusual event of the van breaking down and being un-driveable, please contact us immediately on the telephone numbers provided in the user Manual (office hours and out of hours emergency mobile number), and we will advise you with regards to contacting breakdown assistance. The recovery assistant will either fix the vehicle or take you back to your base, and then back to us at the end of your hire period.  The contact numbers for our breakdown assistance are clearly shown within the User Manual and will be pointed out to you on handover.
We will do all we can to help you get back on the road as soon as possible. In the case of you being without the van you will be refunded on a pro-rata basis.


Delivery and Return of the Vehicle:
The Hirer acknowledges having received the Vehicle in a clean condition, in sound working order and with a full diesel fuel tank and 1 gas bottle (or 2 depending on length of hire period). The Hirer will return the vehicle in a clean condition with a full diesel fuel tank, on the return date and time set out under the heading “Return date and time” on the Booking Confirmation Form. The Hirer acknowledges that Gloucestershire campervan hire will not refund any monies, nor have any obligation to provide a replacement vehicle, if the Vehicle is returned before the completion of the hire period. If the Hirer ceases to have the use of the Vehicle prior to the return date for any reason e.g. accident, we may refund on a pro-rata basis for the missing days.

Rental and Other Charges:
The Hirer will pay Gloucestershire Campervan Hire the following:
All rental charges, a cleaning fee of £50.00 if the Vehicle is not returned with the interior in a clean condition and the cost of any damage to the Vehicle or the property of any third party, subject to the insurance cover. All government fees and duties etc; all parking fines, other fines or penalties, and/or accidents including third party property damage not reported on return of the Vehicle; any associated administration costs incurred in relation to the Vehicle during the Rental Period; any other fees or charges payable by the Hirer pursuant to this Agreement. This includes any costs incurred by Gloucestershire campervan hire as a result of any breach by the Hirer of the terms of this Agreement. There will be a daily rental rate of £100 per day for the period the Vehicle is off fleet for accident repairs. The cost of recovering a Vehicle that has become bogged.  Fuel surcharge of £1.50 per litre plus £25 should the vehicle be returned without a full diesel fuel tank.


Road Restrictions:
All Vehicles may only be driven on sealed / bitumen roads / camp sites. Gloucestershire Campervan Hire reserves the right at any time, at its sole discretion, to restrict vehicle movements in certain areas due to adverse road or weather conditions or any other reasonable cause.

Use of the Vehicle:
The Vehicle is not to be:- driven otherwise than in a cautious, prudent and normal manner; used in a manner which could cause damage; driven in a prohibited area or in an area other than the areas indicated to me by Gloucestershire Campervan Hire; driven by a person under the influence of alcohol or drugs or with a blood alcohol level in excess of that permitted by law; left with the ignition key in the vehicle while it is unoccupied; driven by persons under the age of 25 years or who are not authorised by law to drive the Vehicle or named in the agreement; damaged by submersion in water; put into contact with salt water; used for any illegal purpose for any race, rally or contest; used to tow any vehicle (including caravan) or trailer; used to carry passengers or property for hire or reward; used to carry more than 4 passengers plus the driver; used to carry volatile liquids, gases (other than the 1 or 2 butane gas cylinders provided), explosives or other corrosive or inflammable material; or otherwise used in breach of the Hirers obligations under this Agreement.
The upper bed has a weight limit of 150kg, it is recommended only for sleeping one adult, or two children. The hirer will be liable for any damages due to negligence of this.


Alterations to the Vehicle:
The Hirer shall not make any alterations or additions to the Vehicle without the prior written consent of Gloucestershire Campervan Hire. When the Vehicle is left unattended, all valuables should be concealed.

Maintenance:
The Hirer shall take all reasonable steps to properly maintain the Vehicle, including daily checks on oil and water levels, and tyres and batteries. Gloucestershire Campervan Hire will reimburse the Hirer for expenditure up to £50.00 reasonably incurred in rectifying any mechanical failure to the engine of the Vehicle, provided that the Hirer produces relevant receipts at the end of the hire period and has received the prior consent of Gloucestershire Campervan Hire, and that the damage is not due to any fault or breach of this agreement by the Hirer.

Responsibility if an accident occurs:
In the event of any accident, loss or damage arising out of the use of the vehicle, the Hirer will notify Gloucestershire Campervan Hire within 12hrs of the of the event happening, obtain the names and addresses of third parties and any witnesses along with as many photographs as possible, and report the event to the nearest police station. The Hirer undertakes to assist Gloucestershire Campervan Hire in handling any claim arising from any event, including providing all relevant information and photographic evidence and attending Court to give evidence.

Terminating the Agreement:
The Hirer acknowledges that Gloucestershire Campervan Hire may terminate this Agreement and repossess the Vehicle at any time, without notification to the Hirer, and that the Hirer will pay the reasonable costs of repossessing the Vehicle, including towing charges if the Hirer is in breach of any term of this Agreement, has obtained the Vehicle through fraud or misrepresentation, the Vehicle appears to be abandoned, the Vehicle is not returned on the agreed return date or Gloucestershire Campervan Hire reasonably believes that the Vehicle will not be returned on the agreed return date, Gloucestershire Campervan Hire considers on reasonable grounds, that the safety of passengers or the condition of the Vehicle is endangered. In the event of such termination or repossession, the Hirer has no right to a refund of any part of the rental charges or the Security Deposit.

Change of Vehicle:
Gloucestershire Campervan Hire reserves the right, at its absolute discretion, to substitute a comparable or similar Vehicle for the Vehicle hired.

Release and indemnity of Gloucestershire Campervan Hire:
Subject to its obligation to deliver the Vehicle or an appropriate substitute vehicle, the Hirer releases Gloucestershire Campervan Hire its employees and agents, from any liability to the Hirer (regardless of who is at fault) for any loss or damage incurred by the Hirer by reason of this Agreement, including but not limited to any loss or damage caused by breakdown, mechanical defect, accident or the Vehicle being unsuitable for my purpose, any loss or damage to any property left in or on the Vehicle, in any service vehicle or on any Gloucestershire Campervan Hire premises or recovered or handled by Gloucestershire Campervan Hire. Subject to any insurance arrangements agreed with Gloucestershire Campervan Hire, the Hirer hereby indemnify and shall keep indemnified Gloucestershire Campervan Hire, its employees and agents against any claims, demands and expenses (including legal costs) incurred or sustained by them or any of them by reason of my use and/or possession of the Vehicle. Gloucestershire Campervan Hire has the rights to track the vehicle using a tracking device.

Privacy Policy:
We will not store any of your financial details, i.e. credit or debit card details.

Title to Vehicle:
The Hirer acknowledges that Gloucestershire Campervan Hire retains title to the Vehicle and that the Hirer possess the goods as a mere bailee only and do not have any right to pledge Gloucestershire Campervan Hire credit in connection with the Vehicle and agree not to do so and shall not agree, attempt, offer or purport to sell, assign, sublet, lend, pledge, mortgage, let on hire, or otherwise part with or attempt to part with the personal possession of or otherwise deal with the Vehicle.

Please note:
Any changes to this agreement must be in writing and must be signed on behalf of Gloucestershire Campervan Hire and by the Hirer.
This agreement shall be governed by English Law.
This agreement constitutes the entire agreement of the parties and there are no other oral undertakings, warranties or agreements between the parties relating to the subject matter of this agreement. Gloucestershire Campervan Hire reserves the right to add or amend any rental charges without prior notice.
